Operations Director

About Democracy Maine: Democracy Maine works to make government more equitable, inclusive, and accessible by improving elections, protecting and engaging voters, increasing civic engagement, and reducing the influence of private money in politics. Democracy Maine is a collaboration between three nonpartisan organizations — League of Women Voters of Maine, Maine Citizens for Clean Elections, and Maine Students Vote — that partner on advocacy and education efforts.

Position Description
The full‐time Operations Director supports Democracy Maine’s programs and administration. This is an exciting opportunity to join a dedicated team of staff and volunteers with a track record of making Maine’s democracy stronger. The Operations Director is responsible for office administration, financial management (including accounts receivable, accounts payable, and reporting), payroll, and human resources. They work closely with the Executive Director and the Board of Directors to build and manage the organizational budgets, and to meet internal and external reporting requirements.

Core Duties and Responsibilities of the Operations Director
 

  • Support the Board, including the Treasurer, and the board committees
     
  • Assist the Executive Director and Board in creating the annual organizational budget, monitoring cash flow throughout the year, and reporting to funders.
     
  • Serve as the initial point of contact for people contacting the organization, directing them to appropriate staff or resources.
     
  • Manage staff recruitment, and provide advice and guidance on HR matters and policy development.
     
  • Ensure membership records comply with national League of Women Voters requirements and oversee the transition to a new national member database in 2025. 
     
  • Manage day-to-day processing of contributions and expenses, including maintaining Quickbooks and internal database records.
     
  • Administer payroll and manage employee benefits and organizational insurance.
     
  • Develop, maintain, and monitor accounting systems and procedures capturing all pledges, contributions, receipts, and acknowledgments.
     
  • Negotiate and manage contracts, leases, and agreements with vendors and consultants.
     
  • Manage organizations’ corporate compliance with the IRS, the Maine Secretary of State, and lobbyist reporting, including working with accountants to fulfill tax-related requirements.
     
  • Assist with appeal letters, grant reports, and other development tasks as needed.
     
  • Maintain archival and administrative files.

 

Additional Duties
 

  • As needed, assist colleagues with education, advocacy, and communications activities, including event planning and community engagement.

 

Location, Compensation, and Start Date
This is a hybrid work-from-home position, with the expectation that the Operations Director will work at least one day a week from the Portland office. Candidates are welcome from anywhere in Maine. This is a full-time position with compensation of $50,000-60,000 based on experience. Health, vision, dental, retirement, and earned time benefits are offered to all employees. We aim to have our Operations Director start as soon as possible.

Organizer

Democracy Maine seeks a full-time Organizer to support our education, advocacy, and membership programs. The Organizer will report to the Executive Director but will work closely with the program staff and local League leadership. The Organizer’s time will be split between state-level projects, supporting existing local Leagues, and developing volunteers in regions without local Leagues.

Core Duties and Responsibilities of the Operations Director

  • Coordinate Democracy Maine’s Adopt-a-Town and Local Government programs, ensuring that Mainers have accurate election information and can participate in the decisions that impact their lives at the local level.
  • Match volunteer interests with project needs, including hitting recruitment goals identified by project teams at the state and local levels. 
  • Develop and implement strategies to increase equity and inclusion within projects and teams.
  • Work with local League leaders to support their goals for program impact, member engagement, and growth. Support local League events, and identify opportunities for partnerships between local Leagues and state project teams. 
  • Support emerging local Leagues and volunteer teams in regions of the state without existing leadership. 
  • Represent Democracy Maine and local Leagues at community events and build relationships with allied organizations.
  • Participate in the development of advocacy, voter engagement, and organizing strategies.
     

Qualifications

We are seeking candidates who are excellent at building relationships and are creative and flexible in pursuing results. You should have:

  • An ability to adapt to shifting priorities without losing sight of deliverables and deadlines.
  • Strong skills in listening, in-person communication, and diplomacy.
  • A collaborative work style that prioritizes growing the skills and confidence of volunteer leaders.
  • A track record of working with individuals with diverse identities and lived experiences.
  • Experience leading volunteer teams.
  • A commitment to non-partisanship and inclusion.
  • Experience working remotely while consistently meeting goals.  

Experience with issue or campaign organizing, and experience organizing in rural areas, are pluses but are not required. 

 

Location, Compensation, and Start Date
Candidates will be considered anywhere in Maine, with a preference for candidates outside of Cumberland or York County. Occasional travel throughout Maine will be a requirement of this job, and applicants are expected to maintain a reliable car and a valid driver’s license. This is a full-time position with a salary of $45,000-50,000 depending on experience.
